5 Ways To Communicate Effectively During The Coronavirus (COVID-19) Outbreak

By now, we’ve all heard of this horrible coronavirus or COVID-19.It’s spreading around the world and people are starting to panic – which is affecting all of our businesses. In this troubled time, communication is so incredibly important.

Effective communication is a way to keep our teams calm, educate our clients, inform the wider audience and maintain structure for the good of everyone.

As a professional Marketing Copywriter, here are my 5 tips to business communication during the troubled times we have LITERALLY on our hands right now.

Let’s not all panic.Yes, the Coronavirus (COVID-19) is a serious threat and we do need to take it very seriously.

However, panic is what leads to stressful outcomes and irrational behaviour. As business professionals, we can lead by example to keep our teams and our customers calm.

This all starts with effective business communication – especially during such a pandemic as we are all facing right now.

Don’t foster radio silence – this is completely counterproductive in this environment.

Here’s what businesses should do during the Coronavirus outbreak.

(1) Management need to collaborate to develop a strategy

Just like during any other business event, Management needs to act first. Get your leadership team, your mentors and advisors together and develop a plan of action. Even if you’re flying solo, you need some sort of plan on how your business is going to adapt over the next few weeks to a year.Whether that’s getting people to stay at home, introducing more virtual meetings or defining the rules of requirements going forward, the first step is to communicate with your Management team to solidify a corona virus business strategy.

During these times, people look to Leaders – so give them this by having a well-thought-out plan upfront.

(2) Update your business procedures

Unfortunately, due to the coronavirus pandemic already in full flight, we don’t have the luxury of pre-planning a program and doing a test run over the next few months.

Your official standard operating procedures need to be updated according to your strategy above, and ready to be shared with your team in a digestible way.

This includes getting a copywriter in to give you a hand to put together communications and updates that can be distributed and effectively understood by everyone. While time is of the essence, quality communication is still incredibly important.

(3) Keep your staff informed regularly

Ok, next step – distribute information and communicate clearly with your internal teams, partners and suppliers. Don’t keep them in the dark.

Roll out your management plans using emails, company comms, videos and voice messages to remind everyone to keep calm and, other than some adaptations (such as working from home), it’s still business as usual.

Don’t just make this a once-off either. Effective coronavirus communication involves updating staff as often as necessary. Send regular updates about the roll-out of strategies, how everything is going and what’s happening next.

But most off all, provide direction that keeps everyone focused and well-informed.

There’s nothing worse than an information vacuum as people will start to stress and make assumptions. Communicate clearly. Communicate now.

(4) ​Reach out to your current clients

After your internal teams are all sorted, it’s time to focus on your current clients.

Start with news and updates that are important for them to know. For example, how you are planning to continue your service with them and what changes are being put in place to adapt to the coronavirus.

There’s nothing worse than an information vacuum as people will start to stress and make assumptions. If that happens, you’ll lose control over the situation. Instead, tell your clients and customers what they need to know to keep them up to date.

Use your social media, do “special update” newsletters, videos, blogs and even Podcasts – all media is useful in getting your message across. Just don’t create radio silence – this is completely counterproductive in this environment.

​(5) Don’t stop marketing!!!

Sure, it’s uncharted territory right now. I understand.However, don’t stop communicating with leads, prospects and your target audiences. That’s the worst thing your business can do right now.

Keep up your brand campaigns and spreading the message about what you do. Don’t put your nurturing marketing efforts off or stop raising awareness. Just because things are slowing down, doesn’t mean your business should stop.

Just because everything is getting cancelled due to the coronavirus and things seem crazy right now, standards must remain.

Keep things professional, pay your invoices on time, keep communication with your suppliers open and be understanding of different circumstances.

Whatever happens next, we will endure.
